The Administrative Assistant will play a critical role in managing communications, client coordination, and case tracking. Responsibilities include, but are not limited to :
Email & Calendar Management
- Monitor and manage Outlook emails, responding professionally and promptly on behalf of executives.
- Manage executives’ calendars, schedule meetings, and set reminders.
- Coordinate and confirm client appointments in Outlook and Calendly.
Case & Document Management
Track and update client cases within Canopy and internal systems.Organize and file documents in a methodical, easy-to-retrieve system.Assist with drafting, reviewing, and finalizing correspondence.Operations & Client Coordination
Communicate with government offices and agencies on behalf of executive regarding client matters.Schedule business events, reminders, and team meetings.Manage simple projects to ensure deadlines and deliverables are met.Support with reception tasks : answer inquiries, assist with client intake, and route requests.Customer Service - answering phones via RingCentralAdministrative Support
Prepare professional presentations and client-facing materials.Creating invoices, sending invoices to clientsAssisting with contacting clients to collect paymentsSchedule : Monday through Friday. 9AM to 6PM (EST)
Requirements
Detail-oriented with excellent organizational skills.Proactive, common sense, and a go-getter attitude – able to anticipate needs and take initiative.Bubbly, confident, and caring personality with the ability to build rapport easily with clients and colleagues.Comfortable and professional speaking with clients over the phone.Strong written and verbal communication skills with a professional, client-facing tone.Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.Tech-savvy with experience using Microsoft Outlook, Teams, RingCentral, (Canopy experience a plus, but not necessary)QuickBooks is also a plus, advanced knowledge in Microsoft Excel is necessary.Prior administrative experience in accounting, law, or financial services is preferred but not required.Benefits
